1. Let us know.
Once you have determined you want to attend, you need to let us know ASAP so we can organize bus routes and lodging. Please contact Heather Bise at email@example.com or give her a call at (304) 230-1532. She will then send you the “official” parish registration form and all of the forms you will need to complete your registration.
2. Put together your own parish information packet.
This packet should be prepared to answer as many questions as you can for parents and potential youth participants. We suggest your packet include the following information:
1. Parent/participant letter
2. Cost break down and dead line sheet
4. Fundraising Plans
5. Diocesan Parent Consent Form
6. Code of Behavior for Youth and Adults
7. Information about Youth Animators (optional)
3. Create a Marketing Plan.
Increase enthusiasm for attendance with these marketing pieces.
1. Bulletin announcements/bulletin insert/posters
2. Promotional video that can be played after Masses.
You can find it at www.ncyc.info. If you want to copy it to your computer I suggest you use www.keepvid.com. You can also give all of your students and parents the link to watch at home.
4. Plan Parent/Student Information Sessions:
In smaller parishes you may only need to have one session. In larger parishes you may need to have several. At this meeting you should:
5. Continue to Communicate, Communicate, Communicate:
It is important to continue to communicate your plans to the participants and the parish as a whole. The better the parish is informed of your plans, the better they will support your trip.
Some parishes publish the list of participants and ask the parish to pray for them. You may want to plan a special sending prayer for the Masses on the Sunday prior to leaving and a welcome home of some kind when they arrive home. It would be great if you could organize a prayer for parents and teens as your bus is leaving. This could be led by your pastor or a deacon in your parish.
We will be sending out regular updates and information on fundraising, best practices for your adult chaperones, bus information, programming updates, etc. Make sure you pass them on to your participants and leaders when appropriate.
This may be your first time attending NCYC, but it is not ours. We are here to help. Once you have decided to attend we will be with you step-by-step and provide all of the forms, support and direction you will need.
